Getting started part 1 - script wizard
Preparation
Listen to an example switchboard (e.g. Call 020 7748 3099)
- What are your objectives?
- What departments do you want to have?
- Who will answer the phone for each department?
Theory
When you use a dmSwitchBoard, you will create a script of how various departments should behave. There is a Wizard to make it easy for you. When you are happy with the script, use the sounds wizard to record the Sounds to personalise your number. There are various voicemail and schedule settings that you can adjust to your needs.
Decide on numbers
We recommend that you have a main number, and a development number. You can modify the development number, and then when you are satisfied with the new script, sounds & settings, you can copy them to the main number. That way you can be sure your customers will experience a professional quality service. If you don't already have a spare number, why not sign up for a free 07005-8 number, and use it as a development number.
Use the wizard to create the basic script (5-15 mins)
1 In your web browser, go to your Clubhouse and login to your development number.
2 Click on Wizard to select the wizard.
3 Answer the questions and choose department names as appropriate.
Don't worry about getting it perfect first time:
- You can change things later
- You can skip forwards and backwards
- The key thing is to get a feel
- If you are feeling a bit lost, call your dealer or the dmClub help line: +44 20 7060 2000
- The wizard window will close when you have finished
Now get a printout of your script
Congratulations! you have just programmed your dmSwitchBoard. Why not print a copy of the Script page and put it on the wall?
Test out the first pass (5-10 mins)
Using your phone, call your development number and try selecting some of the departments. Don't worry if you don't like the "Robot" sounds that our system has created, you can record your own sounds later on.
Modify the script (5-10 mins)
Use the wizard to change some of the script, e.g. change the phone numbers or the wording. Then take another printout of the script and call your number again to review the results.
